I (Nicola Underwood-Booth) take your privacy seriously. This notice explains what personal information I collect, why I collect it, how I use it and how long I keep it.

Nicola Underwood-Booth is a sole trader operating as Maternity & Matrescence. I am the data controller for any personal information you share with me.

1. What information I collect

I may collect the following information:

Your name and contact details, including email address.

Information about your employment, role and maternity leave situation, where relevant to the coaching or programme you are undertaking.

Any other personal information you share with me in the course of working together, including information discussed during coaching sessions.

If you sign up to my mailing list or waiting list, I will also collect your email address for that purpose.

2. Why I collect it

I collect your information in order to:

Provide coaching, group programmes and related services to you.

Communicate with you about your programme and my services.

Send you updates and information if you have signed up to my mailing list or waiting list.

Meet my legal obligations.

3. How I store it

Your information is stored securely in password-protected systems. I do not sell or share your personal data with third parties, except where required by law.

Where group programmes are delivered via Zoom, please be aware that Zoom's own privacy policy will apply to any data processed through their platform.

4. Confidentiality

Everything you share with me in the context of coaching or group sessions is treated as confidential. I will never share details of what you have shared with me with third parties without your consent.

I will always ask your permission before using any details about your experience in testimonials, case studies or on my website or social media.

5. How long I keep it

I will keep your information for as long as necessary to provide my services and meet my legal obligations. For completed programmes, I will retain relevant records for a period of six years in line with HMRC requirements for sole traders. After this period, your information will be securely deleted.

If you are on my mailing list or waiting list, I will keep your email address until you unsubscribe or ask to be removed.

6. Your rights

Under UK GDPR, you have the right to:

Access the personal information I hold about you.

Ask me to correct any inaccurate information.

Ask me to delete your information, subject to my legal obligations.

Withdraw consent for me to use your information at any time.

Complain to the Information Commissioner's Office (ICO) if you are unhappy with how I handle your data.
